The order path

Eight steps from booking to proof of delivery.

  1. BookA CRM booking is Order Received. A phone booking waits for validation.
  2. ConfirmThe dealer confirms on the phone. Miss the deadline and it expires.
  3. ProformaGenerate PI, then print the proforma and the sale order.
  4. Payment slipUpload the slip. Accounts receives it. That does not dispatch the order.
  5. ApproveAccounts marks the proforma approved for dispatch, or cancels an expired one.
  6. SerialsPDI, battery and charger serials, then each department acknowledgement.
  7. DispatchFinal dispatch waits until every acknowledgement is done. The order is fulfilled.
  8. ReceiptThe dealer records proof of delivery and can raise a concern.

Two workspaces

The CRM in the browser. The network on the phone.

A lead stays a lead until someone books an order. Production serials and spare stock sit beside that path.

Browser

CRM

The commercial path, from the first booking to the vehicle leaving the yard.

  • Order and proformaBook, print the sale order, generate the proforma and set the due date.
  • Payment slipReceive the photo slip and reply. Status stays pending, paid, partially paid or expired.
  • Dispatch controlApprove dispatch, link serials, collect department acknowledgement, then mark fulfilled.

Phone

Phone app

One login. The menu follows the user. Dealer and distributor share the same menu.

  • Sales personLeads, order booking, proforma download, payment slip, attendance, visits and targets.
  • Dealer and distributorConfirm the order, view stock, register a customer sale, receive dispatch, raise a return or a ticket.
  • Engineer and service centreClose assigned tickets with photos and signatures. Service centres view stock and notices.

Who uses it

A different menu for each role.

01

Sales person

Face attendance, live staff tracking, visits, expenses, leads and dealer targets.

02

Dealer

Confirm orders, watch stock, register the retail customer and receive the shipment.

03

Service engineer

See assigned tickets and close them with parts, photos, signatures and feedback.

04

Service centre

View spare and vehicle stock, raise an internal helpdesk ticket and read notices.

Beside the order

Service, stock and targets stay visible.

These do not start when an order is booked, and they do not replace the order path.

Attendance and visits

Check-in and check-out with location and a face scan. Live tracking follows the field person. A visit closes with minutes of the meeting.

Tickets and WhatsApp

A dealer raises a complaint on a sold or unsold chassis. The customer and the assigned dealer or engineer can be updated on WhatsApp.

Serials and spare stock

Upload vehicle, battery and charger serials for dispatch linking. Spare inward, outward and transfer stay separate. Final dispatch adjusts in-transit stock.

Targets and demand

Enter dealer quantity and spare-parts targets. Review planning and demand versus stock. Reports do not create an order.

Customer sale

Register the retail customer against a product serial, with invoice photo, price and battery details. That does not book a factory order.

Returns and claims

Raise a return-to-factory challan with photos and transport details, or submit a service claim with coupon, chassis and battery readings.

For manufacturers

One DMS to release a vehicle to the dealer.

Book the dealer order, confirm it, issue a proforma, check the payment slip, and release dispatch only after PDI, battery and charger serials are acknowledged.

The dealer confirms receipt on the phone. If the delivery is wrong, they raise a concern and the manufacturer can see the proof of delivery.

Frequently asked questions

Everything you need to know

Clear answers to common questions about features, implementation and support.

01Which vehicles does it cover?
Electric two-wheelers, three-wheelers and four-wheelers. Scooters, motorcycles, passenger and cargo three-wheelers, cars and light commercial vehicles share the same order, proforma, dispatch and service path.
02Who is the EV solution for?
It is for an electric vehicle manufacturer and the people around that network: accounts and dispatch, sales people, dealers, distributors, service engineers and service centres.
03Does a lead become an order automatically?
No. Leads are assigned, noted, or marked not mature or junk. Someone still books the order.
04Is the printed document a tax invoice?
No. The system prints a proforma and a sale order. A tax invoice on a fulfillment update is an uploaded file, not a generated tax invoice.
05How does payment work?
There is no payment gateway. The phone user uploads a payment slip. An authorised accounts user receives it and can reply. That does not dispatch the order.
06Does live tracking follow the vehicle?
No. Live tracking follows the salesperson or service engineer. It does not track a vehicle after it is sold.
07Which alerts are sent?
Phone alerts cover lead assignment, order booking or update, proforma generation and payment. Opening an alert shows the related screen. WhatsApp is used for service events and a dispatch fulfillment update. SMS and email alerts are not part of this solution.
